- A short apology when the delay is on your side. One is enough. Weather and inspections don't need one.

- The day before you start: when the crew arrives, where they'll park, and what to move.
- When something's late: materials, permits, inspections or weather.
- After an inspection or milestone: what passed, and what starts next.
- When you find something: rot, old wiring, a leak. Say what you found and that you'll send a change order before doing extra work.
- When you're done: what's finished, what's left, and when the final invoice comes.
