What goes on an invoice

A client should be able to read an invoice once and know what they are paying for, how much, and by when. That means five things:

  • Who it is from and who it is to. Your business name, address and contact details, then the client's name. Typli fills in yours from your saved details.
  • An invoice number and date. Numbers make invoices easy to find later, for you and for the client's bookkeeper.
  • Line items. One line per piece of work or material, with a quantity, a rate and an amount. "Leaf removal, 12 beds" is easier to approve than "Services".
  • Tax and total. The subtotal, any discount, tax at your local rate, and the total due.
  • Payment terms. When payment is due and how to pay. "Due within 14 days by bank transfer or card" is enough.

Invoice or estimate?

Send an estimate before the work starts, so the client can agree to the price. Send an invoice once the work is done, asking to be paid. If you sent an estimate first, use the same line items on the invoice so the client can match the two.

Tips for getting paid faster

  • Send the invoice the day the work is finished, while it is fresh for the client.
  • Use the client's name and the job name in the title, so it is easy to match in their inbox.
  • Put the due date near the top. Short terms such as 7 or 14 days get paid sooner than 30.
  • Share it as a link. Clients can open it on their phone without downloading an attachment, and you can still send the PDF.
